Oral presentation guideline
For all the oral presenters
-
Please complete the Questionnaires for all the presenters from here
Deadline: October 14, Friday (Japan Time= UTC +9:00)
*Log-in ID and Password is as same as submission/conference registration.
*If your co-author is the presenter, please confirm it with the presenter and answer it on behalf. -
Your presentation has to be prepared and presented in English, the official language of the Conference.

The file must be compatible with Microsoft PowerPoint or Adobe Acrobat on Microsoft Windows indicated below.
-
The slide should be a landscape orientation, and a standard aspect ratio (4:3) or wide aspect ratio (16:9).
-
We can’t support an audio and video presentation.
-
Live presentation online (Zoom) or onsite is required.
-
Note that the presentation will be recorded and if you accepted the upload of the recorded video of your presentation, the presentation will be open for all participants until three months after the conference.

Screen sharing on zoom is used for the live presentation

Presenters MUST complete the registrations by November 1, 2022 (JST). Registration later than November 2, 2022 may be considered as withdrawal.

All presentation data will be completely deleted after the session.

For onsite oral presenters

Please arrive at your session at least 15 minutes before the scheduled start to coordinate with the session chairs, and become familiar with the audio-visual equipment.
-
Please copy your presentation file to the PC equipped in each session room.
-
You are asked to bring their presentation files with your own USB memory stick.
-
Your file should be saved as your presentation code (i.e. ‘MoO_11a-1.ppt’).
-
It is your responsibility to copy your presentation file in each session room in advance.
-
Additional computers will be available at the Preview Room (Rm143, 1th Bldg.) to check the correct functionality of your presentation.
You are strongly recommended to check your presentation prior to the session.When reviewing your presentation, you should make sure all fonts appear as expected.
You will be able to edit your presentation at this time.

Oral Session Procedure

Please follow the chairperson’s instructions.

Please be seated in the “Next Speaker’s Seat” (located in the first row of the room) at least 15 minutes prior to your presentation.

Please check the time allotted for your presentation and finish your presentation within the designated time.
For online oral presenters
-
You are requested to check their network condition and equipment in advance at Zoom test site. Please check your camera, speaker and microphone conditions at the zoom test site.
-
Please enter your session in Zoom at least 15 minutes before the scheduled start to coordinate with the session chairs, and check your slide sharing on Zoom.
-
(Optional) You can submit your pre-recorded movie file of your presentation through the Confit system in advance.
Because this movie file is for a networking trouble only, you need to make a live presentation in principal without using the pre-recorded movie.

For the pre-recorded video, the allowed file type is .mp4 only.
-
The size of the pre-recorded video file must be within 2 GB.

By uploading the video, you are agreeing the following terms and conditions.

For all the poster presenters

Poster sessions are scheduled on Tuesday, November 15, and on Wednesday, November 16 from 12:00 to 15:00 (JST) at the event hall (1st Bldg.) and online.

Please upload your poster image file (< 10 MB, JPEG or PNG) to your speaker’s site on the Confit system by November 9 (Wed), 2022 (JST).

You can upload a short video for your poster presentation (Optional). If you upload your video file, please upload it to your speaker’s site on the Confit system by November 9 (Wed), 2022 (JST).

For the short video, the allowed file type is .mp4 only.

The length and size of your short video file must be within 3 min and 2 GB, respectively.

The slide should be a landscape orientation, and a standard aspect ratio (4:3) or wide aspect ratio (16:9).

For onsite poster presenters

You can put your poster from 9:00 on November 15, and your presentation code (‘TuP-11-1’) is posted on each poster board.

You should show the poster no later than 11:00 on the day.
-
Please do not remove your poster until 15:00 November 16.
-
Your poster must be removed by 20:00 on November 16.
-
Please note that after 20:00 all remaining posters will be disposed.
-
Size of a poster board is 2100 mm tall and 900 mm wide. Please clearly display the paper title, author names and affiliations on the poster.
-
You are requested to stay near by your poster during the core time at least.
-
The poster sessions allow authors the opportunity to interact personally with the attendees, network with interested parties, and discuss research results in-depth.

The followings are outlines for preparing your poster:

Poster Size: The area available for the poster is limited to a rectangle 2100 mm tall by 900 mm wide. Please make sure the poster fits within the allowed display area (e.g. A0 size is 1189 mm tall x 841 mm wide).

Poster Mounting: The surface of the mounting board is pushpin friendly. Posters must be mounted to the boards with pushpins, and they are available at the poster check-in desk,
For online poster presenters
-
In this conference, there is no video chat tool prepared for online poster presentations.
However, you can reply to questions from attendees using comment section on the Confit system. -
During the core time, you are requested to check and reply to questions and comments from attendees on the Confit system.

Size of a poster for online presenters is 450 mm tall and 800 mm wide (16:9).

Please clearly display the paper title, author names and affiliations on the poster.
